VST Private Group Charters

Private group charters are the heart of what Vermont Ski Tours has done for nearly six decades. When a group books a private charter with VST, they’re not just reserving a bus—they’re getting a fully organized, professionally managed ski weekend built around their schedule, their preferences, and their budget. Every charter includes round‑trip motorcoach transportation, lodging, breakfasts, lift tickets, and optional meals or rentals, all bundled into one seamless package that VST coordinates from start to finish.

What a Private Charter Involves

A private charter means your group has its own dedicated bus, its own schedule, and its own trip structure. VST handles all logistics so group leaders don’t have to:

  • Private motorcoach for your group only, with professional, winter‑trained drivers
  • Custom pickup locations—schools, offices, parking lots, or anywhere your group prefers
  • Guaranteed lodging block at the hotel selected for your trip
  • Group lift tickets waiting on arrival
  • Breakfast included, with optional group dinners
  • Equipment rentals and lessons arranged in advance
  • A designated VST escort on board to help with check‑ins, lift tickets, timing, and coordination
  • All taxes, fees, and gratuities included in the package price

VST’s job is to make the trip easy. Your job is simply to get your group on the bus.

Why Groups Choose VST for Private Charters

VST has been running private ski charters since 1968, and the model has stayed successful because it removes the stress and uncertainty that come with planning a group trip on your own.

  • Reliable winter transportation using reputable, fully insured motorcoach companies
  • Professional drivers who understand mountain roads, winter conditions, and DOT safety rules
  • Decades‑long relationships with Vermont and New York hotels and resorts
  • Consistent pricing with no hidden fees
  • One point of contact for the entire trip—no juggling multiple vendors
  • A proven system that has moved hundreds of thousands of skiers safely and efficiently

Groups that try to piece together their own transportation, lodging, and lift tickets often end up paying more, or dealing with last‑minute surprises.

How the Complimentary Trip Policy Works

VST rewards group leaders who organize and fill a private charter. The complimentary trip policy is simple and clearly defined:

  • Youth Groups (schools, youth organizations):   One free chaperone trip for every 10 paying students. (Two chaperones per room for the complimentary package.)
  • Adult Groups:   One free trip for every 20 paying adults.

These complimentary trips are built directly into the group pricing structure—there are no hidden fees or adjustments. The more passengers you bring, the more value your group receives.

What Group Leaders Can Expect

When you book a private charter with VST, you get:

  • A dedicated VST representative from the moment you call
  • A clear, written quote with all taxes and fees included
  • Help with rooming lists, lift ticket counts, and rental coordination
  • A VST escort on the bus to manage logistics
  • A smooth, predictable weekend that runs on schedule

VST has been doing this for 50+ years because the system works—and because groups return year after year.

Small Group Options and Shared Charters

Not every group fills a full 56 passenger motorcoach, and Vermont Ski Tours has always believed that smaller groups deserve the same access to affordable, well‑organized ski weekends as large organizations. For that reason, VST offers a flexible Small Group Program designed to help smaller parties enjoy the benefits of a private charter without carrying the full cost of a bus on their own.

How VST Supports Small Groups

When a group doesn’t meet the standard 35–45 paying passengers needed for full charter pricing, VST steps in to help:

  • We match small groups with other small groups traveling on the same weekend.
  • We combine compatible groups—schools with schools, adult groups with adult groups—so the experience remains comfortable and well‑organized.
  • We coordinate all logistics, including pickup locations, rooming lists, lift tickets, and timing, so each group still enjoys a smooth, turnkey trip.
  • We ensure cost savings by spreading the bus cost across multiple groups, reducing or eliminating the empty‑seat surcharge.

This approach allows smaller groups to enjoy the same high‑quality transportation, lodging, and resort access as larger groups—without paying more than they should.

Timing and Planning for VST Trips

Vermont Ski Tours operates on a seasonal rhythm that helps groups secure the best dates, the best room blocks, and the best pricing. Because demand for winter weekends is high—and because hotels and resorts allocate only a limited number of group rooms—timing plays a major role in planning both private charters and open bus trips.

Private Group Charter Timeline

Most private groups begin planning months before winter, especially if they have a preferred destination or a specific weekend in mind.

  • Spring (March–May): Room Blocks Reserved   Many groups reserve their hotel room block as early as spring. There is no cost to reserve a block, and doing so ensures availability before popular weekends fill up.
  • Late Spring to Early Summer (Memorial Day–July 4): Pricing Becomes Available   Resorts and hotels release their group pricing for the upcoming season during this window. Once pricing is available, VST provides formal quotes and begins confirming trip details.
  • Fall (September–October): Finalizing Details   Most private groups finalize their trip in early fall—rooming lists, lift ticket counts, rental needs, and transportation details. By this point, dates and destinations are locked in, and the group begins collecting payments.

Because room blocks are limited, groups with strong preferences for specific weekend or destination benefit from locking in early.
